Description
In this visual age, we use photographs to help us remember the most special times in our lives. This conference is a unique and special time for sisters who live across the Asia Area to connect with one another. Sometimes it is seeing old friends again and other times it is making new ones. Being spiritually fed and renewing their commitment to the Gospel of Jesus Christ throughout the weekend is meaningful and sometimes life changing.
Having pictures available for sisters to download once they arrive home is a wonderful reminder for them of the significance of this event. The pictures also help keep a visual history of the conference each year which can be passed on. |

risers, chairs, banner and ladder etc are in place for the group photo ahead of time. - Have assistants to help organize all group shots with you to ensure the session runs quickly and smoothly - Take group photo with banner (if appropriate) - Take group photos of each country represented. * Contact the Registration chair for this list * Graphic design will make up signs with each small group name that will be held in the picture for identification. * depending on numbers, we may choose to separate Hong Kong and some of the major cities in China (Shenzhen, Shanghai, Beijing) and then do a 'greater china' small group shot for the rest. - Take a Committee shot with a banner. |

Uploading photos to the website:
- go to www.weebly.com and login. Contact the website administrator for the login information.
- Page opens: A.S.I.A - click on 'Edit Site'
- Click on "pages " in the top menu bar
- Scroll down tabs on the left side of the page.
- Click on "(current year) Photos"
- When the new page opens, click on the icon for "upload images" . You will be directed to either drag photos in, or upload them from your computer. Please upload so that when someone clicks on a photo, it opens to a high res. version of the photo. You may want to do them in batches, as it will take some time for the uploading to complete; you can see the uploading progress window a the bottom right of the page. Take a look at the size of each picture too, as they may upload better in a little smaller size depending on your resolution.
- You can close the window and the site at any time and your work will automatically be saved.
- Contact the webmaster with any questions and also when you are finished uploading to have the page published. (see org chart for contact info)

1) We had 9 sisters volunteer to take pictures. In reality 3-4 women helped with pictures. I think having 3-4 dependable women is just about right.
2) Large group photo (was taken in 4F Chapel with wooden risers)
a) Make sure we have two dependable wide-angle cameras capable of taking the large group picture. We relied on one camera and it fizzled out right before the conference. We ended up using the PR department's camera, but they lost the SD card. Huge mishap and lesson learned.
b) Have someone taking quality shots during the group photo (zoomed in happy faces). This worked well and I have no idea who took these pictures, but I like it.
c) We used two rows of chairs in front (staggered), risers, and people sitting on the ground and holding the horizontal banner. This was the only way we could get everyone to fit.
d) Our numbers are growing each year and that is a good problem to have.
e) We had to keep moving purses out of the way so that they didn't get in the photo. Next year have a location for purses so that they don't get moved around and misplaced. This was frustrating for many women.
3) Small group photos by country
a) We had three photo stations based on the number of women in each country/group.
b) We placed the country signs on the walls with sticky tac ahead of time so that the women could gather in their country group immediately after the large group photo. While they were still gathered in the large group, I explained with a microphone where they should go and what they should do. If a woman was the first to reach her country sign, she was to hold it up and gather other women from her country near her so that they were ready to go. The idea is to "free up" the largest amount of women in the shortest amount of time so that they can start working on the service project.
c) If the group had 20+ women (this year China, HK, Singapore, Japan) they stayed in the chapel and gathered in separate corners where their country signs were posted while the largest group stayed on the risers.
d) If the group had 4-15 women, they had their pictures taken against one lobby wall and their country signs were posted down the hallway to keep the groupings organized. We used a row of about 4-5 chairs in this photo setting to accommodate the larger groups.
e) If the group had 1-2 women, they had their pictures taken near the elevators on a wall with Nephi.
f) It worked well to have two horizontal banners. In 2016 it was a printing mistake that we had two (one glossy, one matte). I liked having a horizontal banner in the background of the medium-sized groups. We also had a vertical banner in the medium and small sized groups. We gathered them from of the 5th and 7th floors for the photos.
g) Next year I recommend at least 3 photography stations. I think this worked really well.
h) One problem we encountered in the 4F lobby was the positioning of the small and medium group photos. The flow of the groups worked well, but when a photographer takes a picture, they need to back up from the group. With two photographers working a small area, we needed a lot of space to move in and have clear of people. This didn't allow for much cross traffic for people wanting to get from the chapel to the bathroom, elevators, or stairs. If we really want the photos to move quickly, we need to take this into account.
4) Now for the glaring problem that we need to address...
We have a lot of women, AND our group photo takes place in the same location as the service project which is very detailed and requires precise setup with the many different stations. Our problem with the 2016 photo is that the women had no place to go once they had their picture taken. This caused congestion which slowed down the picture taking process and caused confusion with finding purses that had been moved, etc. *for 2017 we will try the group photo in the 1F chapel.
These are my recommendations for 2017:
a) Take the large group photo in the 1F or 6F chapel. Have a spot on the back wall designated for purses, and announce as women are walking in that they should put their purses in the back. Take the large country photos in this location (groups with over 20 women), and that will free up about 175-200 women to start working on the service project within about 20 minutes.
b) Send the rest of the women to gather by their country signs. I recommend having the small group photos in the lobby of the 6th floor. This will allow us to take pictures along one wall, and give a free walkway for the 200 women to exit the chapel and have access to the elevators and stairs. Similarly, if only one wall is being used for photos on the 4F, these 200 women will also have a free walkway to get to the 3rd floor chapel to start working on the service project.
c) Medium group photos can be taken in the lobby of the 4F chapel. Use the same setup with groups gathering down the hallway next to their country signs and use the wall next to the kitchen for the photos.
d) Once the women are done with their pictures, they can file into the 4F chapel to work on the service project. This allows for minimal congestion on both floors and gives a path for traffic to flow.
